The Participant Administration tool centralizes and standardizes how organizations manage participants within PTC Windchill.

From one location, administrator and designated users can:

  1. Manage Users – Centralized control to view and manage users, roles, groups, licensing, and activity.

  2. Cleanup Users – Interface to manage user cleanup tasks, workspaces, checked-out items, and role assignments.

  3. Participant Administration – Centralized management of user status, participation, licensing, and participant recipes.

  4. Licensing – Visibility and control of license usage, enabling monitoring, compliance, and optimization of allocation.

  5. Web Service Endpoints – Over 35 OData endpoints enabling third-party integration for managing users, groups, roles, profiles, recipes, and licensing.

  6. Recipe Management – Template-based configuration of user access, enabling consistent assignment of groups, roles, profiles, and licensing across contexts.

Administrators can designate a user to manager participants without being in an administrative role. 

Manage User Overview

The Manager User functionality provides comprehensive administrative control over user access, licensing, and roles within the system. It enables administrators to monitor user activity, manage license allocation and grouping, maintain accurate role assignments across contexts, and efficiently configure users through reusable templates, ensuring both operational efficiency and governance.

  • Login Activity – View and track user login history, including timestamps and access patterns. 

  • Recently Accessed Objects – Monitor which objects the user has accessed in recent sessions.

  • Licenses Utilized – Analyze the licenses currently or historically consumed by the user.

  • Edit User – Modify user details such as roles, attributes, and account settings.

  • Cache Remover – Clear the user from system cache to refresh permissions or resolve session issues.

  • Manage Groups/Roles  – Assign or update user groups and roles across all applicable  contexts.

  • Apply License Profiles – Assign license profiles that define access and usage rules.

  • Manage License Groups – Create and manage license groups for easier administration.

  • User Recipes– Apply predefined configurations or templates to streamline user setup and management.

Cleanup User Overview

The Cleanup User page provides a centralized interface for managing user-related clean-up tasks. Administrators can monitor and remove workspaces, manage checked-out items, and update user roles across all contexts, all from a single, streamlined page. This ensures efficient user management while maintaining system integrity and data governance.

  • Manage Tasks – Identify and bulk re-assign open tasks.

  • Workspaces – View all user workspaces, including: 

    • ​Last modified and creation dates

    • Full workspace contents

    • Option to cleanup and remove workspaces

  • Checked-Out Items – See all items currently checked out by the user and perform actions such as undo checkout.

  • Manage Roles – Add or remove the user from roles across any context within the system.

Administration Overview

The Participant and Administration section provides a centralized view for managing user participation, activity status, and licensing within the system. It enables administrators to monitor user engagement, maintain accurate user states, and efficiently control access and licensing through a single interface.

 

Admin Capabilities:

  • Registered Users – Show registered user accounts within the system

  • Active Users – View users who are currently enabled and eligible to access the system.

  • Logged-In Users – Monitor users who are actively logged into the system in real time.

  • Disconnected Users – Identify users who are disconnected from the LDAP.

  • Deactivated Users – Manage users who have been intentionally disabled and no longer have access.

  • Unlicensed Users – Track users who do not currently have an assigned license or access entitlement.

  • Deleted Users – Review users who have been removed from the system.

  • Manage Participant Recipe – Create and manage reusable participant access templates.

Licensing Overview

The Participant Plus Licensing section provides advanced visibility and control over license usage across the organization. It equips administrators with actionable insights, usage analytics, and compliance tools to optimize license allocation, reduce waste, and ensure efficient utilization of licensing resources.

Licensing Capabilities

  • Average License Utilization – Analyze the average usage of each license type to understand overall consumption patterns.

  • Organization Utilization – View license usage aggregated across all organizations to identify trends and capacity needs.

  • Daily Usage Trends (Graph) – Visualize license activity over time with interactive graphs showing daily usage patterns.

  • License Availability – Monitor the number of licenses currently available versus those in use.

  • License Features – Review the specific features and capabilities associated with each license type.

  • License Insights (Risks) – Identify license allocation scenarios that potentially destabilize system health.

  • Optimization Opportunities – Discover ways to reassign or adjust licenses to improve efficiency and reduce costs.

  • Cleanup (Compliance) – Ensure compliance by identifying unused or misallocated licenses and taking corrective actions.

  • License Excluded Users – Track users who are intentionally excluded from license allocation or usage.

  • Unlicensed Users – Identify users without assigned licenses who may require access or reassignment

Web Service Endpoints

Third-party systems can call Participant Endpoints to control users, groups, and licensing. Some companies are required to manage users and groups outside of Windchill, and this provides a way to integrate external identity management applications seamlessly with Windchill, enabling easy and efficient synchronization and administration.

 

The following represents over 35 ODATA endpoints used to manage users, groups, recipes, and access control relationships within the Windchill .

These endpoints support both standard retrieval operations (GET) and administrative actions (POST bound-actions) that control user entitlements, group membership, profile assignments, and recipe associations.

Recipe Management  

Recipe Management provides a template-driven approach to managing participant assignments in Windchill, enabling consistent and efficient configuration of user access without requiring manual setup each time.

  • Assign groups and license groups

  • Assign Standard Profiles

  • Assign roles across any context

These recipes act as reusable templates for participant configuration, eliminating the need for administrators to manually remember and reapply assignments. This approach ensures consistency, reduces configuration errors, and simplifies administration. Additionally, it enables third-party applications to assign access using predefined templates without needing to understand the internal complexities of Windchill participant management, allowing for seamless integration.
